Contract: Full-Time (or substantial part-time, minimum 30hrs per week)

Role Overview

Malta Drama Academy is looking for an exceptional Operations Manager to join our growing team and play a key senior role in the continued development and expansion of the Academy.

This is an exciting opportunity for someone who combines strong organisational and administrative skills with excellent people skills, initiative and a genuine passion for the performing arts.

Working closely with and reporting directly to the Academy Director, the Operations Manager will take responsibility for the smooth day-to-day running of the Academy while also contributing to its future development, growth, productions and programmes.

 

The Role

This is a varied and influential senior position with responsibility across academy administration, operations, staff management, marketing, finance, events and development.

The successful candidate will become a central part of the Academy's operations and will work closely with students, parents, teachers, creative teams and external partners.

Key Responsibilities

Academy Operations & Administration

  • Oversee the day-to-day administration and smooth running of the Academy.

  • Manage the Attard headquarters, office and studio spaces.

  • Coordinate schedules, classes, activities and operational requirements.

  • Manage student enrolments, registrations and related administration.

  • Act as a key point of contact for parents, students and staff.

  • Liaise with schools and government agencies.

  • Maintain efficient administrative systems and records.

  • Identify opportunities to improve systems, procedures and the overall Academy experience.

 

Staff & Team Management

  • Support and coordinate Academy teaching and administrative staff.

  • Assist with staff scheduling, communication and day-to-day management.

  • Help ensure high standards of professionalism and service across the Academy.

  • Work alongside the Academy Director in developing and implementing staff and operational plans.

 

Finance & Administration

  • Oversee the administration of fees, payments and outstanding accounts.

  • Assist with bookkeeping and financial administration.

  • Coordinate payroll and related records.

  • Liaise with relevant professional advisers and suppliers as required.

  • Maintain accurate financial and administrative systems.

 

Marketing, Publicity & Social Media

  • Take responsibility for the ongoing development and implementation of the Academy's marketing and publicity activity.

  • Manage and develop regular social media content across relevant platforms.

  • Assist with promotional campaigns, advertising and communications.

  • Create and coordinate publicity materials and marketing designs.

  • Help strengthen the Academy's profile, brand and presence within the community.

  • Identify creative opportunities to promote classes, productions, events and new programmes.

 

Development & Expansion

  • Support the Academy Director with strategic development planning and implementation.

  • Contribute ideas and initiatives for the continued growth and expansion of the Academy.

  • Research and develop new programmes, opportunities and partnerships.

  • Assist in launching new classes, projects and initiatives.

  • Play an active role in helping shape the future direction of Malta Drama Academy.

 

Productions & Events

  • Assist with the planning, organisation and delivery of Academy productions and events.

  • Devise, develop and support new productions and creative projects.

  • Coordinate practical and administrative requirements for performances.

  • Assist with production planning, scheduling, venues, staffing and publicity.

  • Take an active role in the Academy's performance programme throughout the year.

 

Summer Programme

  • Manage and coordinate the Academy's summer programme.

  • Oversee enrolments, staffing, scheduling, communications and administration.

  • Support the development of new and exciting summer projects and activities.

Teaching & Creative Contribution

  • Some teaching may be required as part of the role.

  • The successful candidate may contribute to drama, musical theatre or dance classes and projects, depending on experience and expertise.

  • Opportunities will also exist to contribute creatively to productions and Academy projects.

 

The Ideal Candidate 

We are looking for someone who is proactive, energetic, highly organised and confident, with the ability to take ownership of responsibilities and make things happen.

You will be comfortable working independently while also being an effective member of a creative team.

Essential Skills & Experience

  • Fun and creative personality.

  • Minimum 2 years' relevant professional experience.

  • Exceptional organisational and time-management skills.

  • Excellent interpersonal and communication skills.

  • Confident dealing with parents, students, staff and external contacts.

  • Ability to work independently and use initiative.

  • Strong attention to detail.

  • Excellent administrative and problem-solving abilities.

  • Good working knowledge of Microsoft Office -especially Excel

  • Excellent working knowledge of Google Drive / Google Workspace (G Suite).

  • Ability to manage multiple projects and deadlines simultaneously.

  • Good written and verbal English.

  • A flexible, positive and professional approach.

  • Full driving licence and access to a car are essential.

 

Advantageous

  • Experience in theatre, drama, performing arts or arts administration.

  • Experience in business administration, marketing, publicity or social media management.

  • Maltese Speaker

  • Experience in event or production management.

  • Creative skills in design and content creation.

  • Teaching or workshop facilitation experience.
